Event Photo and Media Policy
Purpose
San Diego Council of Divers ("we," "our," or "us") events take place in public settings where photography is common. We use photos to document club activities, celebrate member accomplishments, and promote the organization's mission. We strive to respect members' privacy preferences and will consider reasonable requests for removal of photographs.
We use photographs, video, and other media to document club activities, promote the organization, share participant experiences, and preserve the history of the organization.
This policy establishes guidelines for the collection, use, and publication of photographs and video taken during club activities.
Scope
This policy applies to photographs and video captured during:
- Club meetings
- Dive trips
- Training sessions
- Community events
- Volunteer activities
- Social gatherings
- Other organization-sponsored activities
Use of Images
Photographs and video may be used in:
- The organization website
- Newsletters
- Social media accounts
- Promotional materials
- Presentations
- Educational materials
- Historical archives
Images may be stored and used indefinitely unless otherwise required by law or by this policy.
Participant Expectations
Participation in organization activities may result in incidental appearance in photographs or video captured by the organization or its participants.
By participating in organization activities, participants acknowledge that photographs and video may be taken in public or group settings and may be used for legitimate organizational purposes.
The organization will make reasonable efforts to use images respectfully and appropriately.
Minors
Photographs or video primarily depicting individuals under the age of 18 should only be published with permission from a parent or legal guardian.
Whenever practical, parental consent should be obtained before publishing identifiable images primarily of minors.
Sensitive or Private Situations
The organization shall strive to avoid publishing images that:
- Create safety concerns
- Reveal personal contact information
- Embarrass or harass individuals
- Depict medical emergencies or injuries
- Violate reasonable expectations of privacy
Removal Requests
Any participant may request review of a published photograph or video in which they appear.
The organization will consider requests for removal on a case-by-case basis and may remove content when appropriate.

While the organization will make reasonable efforts to honor requests, removal may not be possible from all third-party platforms, archived publications, or content previously shared by others.
Participant Photography
Participants frequently take photographs and video during dives and events. The organization is not responsible for photographs or video independently captured, published, or shared by individual participants in their personal capacity. Participants are encouraged to respect the privacy preferences of fellow participants when sharing photographs online.
